This Privacy Policy sets out the rules governing access to information on the User’s devices via cookies used to deliver electronic services requested by the User, by the Warsaw University of Technology, with its registered office in Warsaw (postal code 00-661), Pl. Politechniki 1.

§ 1. Definitions
  1. Administrator — means the Warsaw University of Technology, with its registered office in Warsaw (postal code 00-661), Pl. Politechniki 1, REGON: 000001554, which provides electronic services and stores and gains access to information on the User’s devices.
  2. Cookies — means IT data, in particular small text files, recorded and stored on devices through which the User uses the Service’s website(s).
  3. Administrator’s Cookies — means Cookies placed by the Administrator in connection with the provision of electronic services via the Service.
  4. External Cookies — means Cookies placed by the Administrator’s partners via the Service’s website (third-party cookies).
  5. Service — means the website through which the Administrator operates an online service, functioning within the pw.edu.pl domain.
  6. Device — means an electronic device through which the User gains access to the Service’s websites.
  7. User — means an entity for whom, in accordance with the Terms and applicable law, electronic services may be provided, or with whom an agreement for the provision of electronic services may be concluded.
  8. Administrative Platform — means a web platform used by the dean’s office to manage the teaching process, finances, and communication between the student and the dean’s office and lecturers.
  9. Educational Platform — means a web platform used to organize access to teaching materials, conduct the teaching process, and enable communication between the student and the lecturer.
§ 2. Types of Cookies Used
  1. Cookies used by the Administrator are safe for the User’s Device. In particular, viruses or other unwanted or malicious software cannot penetrate Users’ Devices via this channel. These files allow the software used by the User to be identified and the Service to be tailored individually to each User. Cookies usually contain the domain name from which they originate, the period of storage on the Device, and an assigned value.
  2. The Administrator uses two types of cookies:
    • Session cookies: stored on the User’s Device and remain there until the end of the given browser session. The saved information is then permanently deleted from the Device’s memory.
    • Persistent cookies: stored on the User’s Device and remain there until deleted. Ending the browser session or turning off the Device does not remove them from the User’s Device.
§ 3. Purposes for Which Cookies Are Used
  1. The Administrator uses its own Cookies to authenticate the user in the Service and to maintain the user’s session in the Service, in particular to:
    • maintain the User’s session in the Service (after logging in), so the User does not have to re-enter their login and password on each subpage;
    • properly configure selected functions of the Service, in particular enabling verification of the authenticity of the browser session.
  2. The Administrator uses its own Cookies to perform processes necessary for the full functionality of the website, in particular to:
    • adjust the content of the Service’s web pages to the User’s preferences and optimize the use of the Service’s websites. In particular, these files allow recognition of the User’s Device’s basic parameters and proper display of the website tailored to the User’s individual needs.
  3. The Administrator uses its own Cookies for analytics, research, and audience measurement, in particular to create anonymous statistics that help understand how Users use the Service’s websites, enabling improvements to their structure and content.
  4. Cookies are not used by the Administrator to retrieve any personal data or any confidential information from the User’s Device.
§ 4. Options for Setting Conditions of Storage or Access by Cookies
  1. The User may independently and at any time change the settings regarding Cookies, specifying the conditions for their storage and access to the User’s Device. Changes may be made via the web browser settings or the service configuration. In particular, these settings may be changed to block the automatic handling of Cookies in the browser or to notify the User whenever Cookies are placed on the User’s device. Detailed information on the possibilities and ways of handling Cookies is available in the software (web browser) settings.
  2. The User may delete Cookies at any time using the available functions of the web browser they use.
  3. Restricting the use of Cookies may affect certain functionalities available on the Service’s website. If this option is used, the Service will still be usable, except for functions which by their nature require Cookies.

Information for OKNO WUT students (does not apply to short-term students) regarding the requirement, starting from 1 June 2018, to use only individual email addresses in the WUT domain (nr_albumu@pw.edu.pl, usos_id@pw.edu.pl, imie.nazwisko.stud@pw.edu.pl) when corresponding with the University

I.

As of 1 June 2018, due to the personal data protection regulations listed below, all students of the Warsaw University of Technology are required, when corresponding with the University, to use only their individual email addresses in the WUT domain, i.e., nr_albumu@pw.edu.pl, usos_id@pw.edu.pl, imie.nazwisko.stud@pw.edu.pl.

On the OKNO educational platform (https://moodletst.okno.pw.edu.pl/leiaprod), the email addresses used for correspondence follow the format usos_id@pw.edu.pl. Therefore:

  • for sending emails regarding their individual matters, students are required to use their individual email address in the WUT domain,
  • all correspondence from the University concerning individual student matters will be sent only to the student’s individual email address in the WUT domain.

All OKNO students have email addresses in the formats: usos_id@pw.edu.pl, imie.nazwisko.stud@pw.edu.pl (for earlier cohorts, the address nr_albumu@pw.edu.pl is also used). To log in to the system, you must have an active student status in the USOS system. Email is accessible at: https://portal.office.com. The username (login) for the mailbox and the Office suite is: usos_id@pw.edu.pl.

Passwords for Office 365 and email in the WUT domain — for students

Passwords for the Office portal, and thus Office 365, are linked to the student email account in the WUT domain; therefore, it is a single account in both cases.

To change (or generate) a password, log in to the USOSweb portal at http://usosweb.usos.pw.edu.pl and then go to the “FOR STUDENTS” tab.

Next, at the bottom of the page, click the “Office 365” icon.

The page will display the login (email address) and a link to generate a password.

A new password will be generated for the Office portal and the email account in the WUT domain.

Please note that the password is displayed only once and cannot be displayed again.

Please read the notes shown beneath the newly generated password.

To change the password to one of your choice, use the link provided in the notes under the generated password.
